Privacy Policy

This policy describes how Hephra ("we," "us," "our") collects, uses, and protects your information when you visit hephratools.com or interact with our pre-launch waitlist.

1. What We Collect

When you join our waitlist, complete our survey, or place a refundable deposit, we may collect:

  • Email address — required to join the waitlist and receive product updates.

  • Survey responses — your answers about your dog's reactivity, what training methods you've tried, your reaction to our pricing, and your timing. These are submitted voluntarily and used to inform product development.

  • Payment information — if you choose to place a refundable $25 deposit, payment processing is handled by Stripe. We never see or store your full card details. Stripe provides us with a confirmation that payment occurred, the amount, and the last four digits of your card for reference.

  • Technical information — IP address, browser type, device type, referring URL, and pages you visited. This is collected automatically when you visit the site.

We do not collect: your name (unless you provide it), your phone number, your address, your dog's name, your dog's medical records, your location data, or any biometric information.

2. How We Use Your Information

To respond to your waitlist signup and send you product updates.

  • To improve our product based on what we learn from survey responses (in aggregate).

  • To process refundable deposits through Stripe and refund them if you request.

  • To understand how visitors find and use our site (in aggregate).

  • To comply with legal obligations.

We use the Meta Pixel to measure whether our ads are working and to improve how they are delivered. This means Meta receives technical information about your visit and the actions you take on our site, such as viewing a page, clicking reserve, joining the waitlist, or completing a deposit. We do not share your survey responses with advertisers, share your individual responses publicly, or train AI models on your data.

3. Who We Share With

We share information only with the service providers we need to run our business:

  • Stripe (payment processing), for deposit transactions only.

  • Loops, to send waitlist and reservation emails.

  • Meta, which receives technical data and site actions through the Meta Pixel so we can measure and improve our advertising.

  • Tally, to collect survey responses.

  • Calendly, to schedule calls if you book one.

  • Google, to store waitlist and reservation records and to understand site usage.

  • Cloudflare, which processes payment confirmation events on our behalf.

Legal compliance, if required by law, court order, or to protect our rights.
We do not sell your information to anyone, ever.

4. Data Security

We use industry-standard security practices to protect your data. We retain your information only as long as you remain on the waitlist or until you request deletion. Refundable deposits, if not converted to orders, are refunded according to our deposit terms, and the transaction record is retained for tax and accounting purposes for the period required by law (typically 7 years in the US).

5. Your Rights

Depending on where you live, you may have rights to:

  • Access the information we hold about you.

  • Correct inaccurate information.

  • Delete your information ("right to erasure" under GDPR; "right to delete" under CCPA).

  • Opt out of marketing emails (every email includes an unsubscribe link).

  • Object to or restrict certain processing.

  • Receive a copy of your data in a portable format.

  • Lodge a complaint with your local data protection authority.

California residents have additional rights under the CCPA/CPRA, including the right to know what personal information we collect, the right to delete, the right to correct, and the right to opt out of "sales" or "sharing" of personal information. We do not sell your personal information. Our use of the Meta Pixel may be considered "sharing" under California law because it involves disclosing technical data to Meta for advertising purposes. You can opt out of this sharing by emailing james@hephratools.com, and we will honor your request.

EU/UK residents have rights under the GDPR. Our legal basis for processing is your consent (which you can withdraw at any time) and our legitimate interest in operating our business.

6. Cookies & Tracking

We use a small number of cookies and similar technologies:

Essential cookies and browser storage, to remember your session and form progress.

Advertising and analytics, through the Meta Pixel, which sets cookies and collects technical data to help us measure ad performance and reach people who may be interested in Hephra. You can opt out of personalized ads in your Meta ad preferences, and most browsers offer tracking protection settings.

7. Children’s Privacy

Hephra is not directed at children under 16. We do not knowingly collect information from children. If you believe a child has provided information to us, please contact us and we will delete it.

8. Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent version. Material changes will be announced via email to waitlist subscribers.
